Import client and financials from Redtail into Asset-Map

*Note: The household created by this integration is dependent upon the quality and accuracy of the data entered at the source. Generally, good and accurate data will result in a successful import into Asset-Map Platform.

*Note: Synchronizing Asset-Map and Redtail with different browsers may produce unexpected results such as failing to sync within a browser. Please utilize the same browser.

*Note: Asset-Map does not support chain-linking (importing from one financial tool into a compatible partner into Asset-Map as this involves data feeds that are out of our control.)

Asset-Map imports client and financial information including accounts, assets, and liabilities.

Import from Redtail

Link Asset-Map to Redtail from Asset-Map's Integrations page.

Activate Redtail with your Redtail Username and Password

Determine if globally including financials onto your Redtail households is desired. If so, turn the "Include Financials" switch on. If only people infomation is desired, turn the switch off. (Note: Asset-Map does not support "chain linking" with other integration parties. For example, eMoney to Redtail to Asset-Map. If an Asset-Map is affected in an unexpected way please reach out to those integration partners for further assistance.)

"Include financials" is a global setting. It will result in existing financials in Redtail CRM being imported to a household already in Asset-Map when a household is synchronized. If financials have already been manually added, representing those in Redtail, duplicate tiles will likely result. Simply determine to delete or hide the financials you wish not to have on the map or calculated on Target-Maps. Be sure to check your Target-Maps to apply the right funding resources if you've deleted financials. Go to the desired Target-Map and click into the "What you have" page.

Included Financials

The following types of financial information is imported/exported from Redtail: accounts, assets and liabilities. Insurance financials are not imported due to Redtail API restrictions.

Asset-Map will seek to import:

  • Default Account Types provided to it by Redtail.

  • Custom Account Types created by the Redtail User.

    • Note: custom account types created by third party software may or may not import and thus are not support.

  • Tax Qualified Type - Traditional IRA only.

  • Common Redtail Asset Types (limited by Redtail).

  • Common Redtail Liability Types (limited by Redtail).

  • Insurance financials are not imported from Redtail.

Import a Household or Connect a Member within a Household

👉To import a household

  • Click the "house" icon in the upper left area and select Add Household

  • Use the Integrations option then click Redtail.

  • Search for the contact record name in Redtail.

  • Decide to import an individual or import their associated contacts as well.

  • Click Import on the desired option.

  • Click View to see their household.

  • Apply a Stencil as desired. (All about Stencils)

Note: to Disconnect the household, you must delete the household in Asset-Map or Redtail.

👉Import multiple households

With the text field empty, click the search magnifying glass icon and wait for your client list to appear (this may take minutes). Click Import adjacent to the desired contact names. Importing is complete for the household when View is shown.

👉To connect a member

  • From within a household, go to the Household's Redtail Integration page (not the Asset-Map Platform Integrations page).

  • Search the name of the contact in the search field.

  • Choose whom you'd like to connect the Redtail contact to in the Household using the drop-down box.

  • Select Import on the desired entry from Redtail

Note: to Disconnect a Member, click the Unlink icon on the Redtail page within the Household.

👉Member Information Imported

  • Name

  • Date of Birth

  • Marital Status (if applicable)

  • Marital Date (if applicable)

  • Home/Work Address(es)

  • All phone numbers entered in to Redtail

Export from Redtail

Launch Asset-Map from Redtail

  • Open a linked client in Redtail.

  • From within Redtail, click the Asset-Map icon in the Integrations menu.

  • Select to launch Dashboard, Launch Household Summary or Launch Asset-Map Report.

Create an Asset-Map Household Starting within Redtail

  • Open an unlinked client in Redtail.

  • From within Redtail, click the Asset-Map icon in the Integrations menu.

  • Choose to Launch Dashboard, Link to existing Household, or Create a Household.

Note that household member(s) contact information and financials will be exported to Asset-Map Platform.

Synchronization Options

Sync from the Actions menu, the right-click (alt click) menu, and the financial or member info/edit window.

Questions, Answers, Troubleshooting

Note: Accessing Asset-Map from multiple browsers could affect integration tokens causing a sync failure error. Please use one browser or disconnect and reconnect the integration from the Integrations page within Asset-Map to refresh the token.

Q. How do you connect a non-dependent family member to a family in Redtail?

A. You're not supposed to. A Redtail family is the Tax definition in Redtail, that is, Spouses and dependents.

Q. I can't update my imported households. I get an error message.

A. If you're not connecting successfully with Redtail, try deactivating and reactivating your connection from Asset-Map's integration page.

Q. I can't edit some fields. They are gray.

A. Gray fields are information linked to Redtail and cannot be edited from within Asset-Map. Please update the information in Redtail and sychronize with Asset-Map to update those fields.

Q. I have duplicate financial tiles after synchronizing with Redtail.

A. If you've previously manually entered financials onto the map that are supposed to represent the financials in that are in Redtail, or you've imported financials from another integration, and you decided to turn on the default switch to import financials from Redtail, you'll see multiple tiles representing the same financial - those you entered and those imported from Redtail. Simply delete the tiles that should not be on the map. Check any previously made Target-Maps and apply the correct funding sources on the "What you Have" page.

Q. My Redtail retirement accounts for my client are coming over as non-retirement accounts.

A. Redtail users have the ability to customize their Account Type within Redtail. If the asset is utilizing one of the custom account types Asset-Map will not recognize it as anything but a non-retirement account. This is rectified by selecting a default account type provided by Redtail, or by editing the tile in Asset-Map and selecting Retirement asset instead of non-retirement asset.

Q. Where are my client's insurance accounts?

A. Redtail does not provide Asset-Map insurance financials.

Q. The {name the financial} does not appear on the client's Asset-Map! Even when I sync it's not there!

A. Maybe the asset is hidden. Click the Search and Select tool to see if there are hidden assets on the Asset-Map. Reveal and unhide them as desired.

Q. Why aren't trust/business financials coming over?

A. You have a business/trust (non-human) set up in Redtail and their financials are not connected/cannot be found through Asset-Map. This is because Redtail provides financials and member information for contacts, not legal entities set up in Redtail.
